⚙️ FLIK Product Operating System

Philosophy: Strategic Oversight by Ahmad, Execution Drive by azmi. Focus on clear, iterative alignment.

1. Strategic Initialization (Monthly Sync)

  • Cadence: 1-2x / Month.
  • Time: Week 1 / Week 3 (09:00 - 10:30).
  • Attendees: Ahmad, azmi, and Key Team members.
  • Goal: Brainstorm, challenge assumptions, and prioritize new initiatives.
  • Output: New initiatives added to product-initiatives.md (Status: ⚪ Planned).
  • Owner: azmi (with Ahmad’s strategic input).

2. Initiative Development Flow (BRD-First Execution)

2.1 Business Requirements Definition (BRD)

  • Action: For a ⚪ Planned initiative, azmi prepares the Business Requirements Document (BRD).
  • Content: Outlines the business problem, high-level objectives, key success metrics, and target user.
  • Location: As the initial section of the corresponding Product/specs/INT-XX-[Initiative Name].md file.
  • Status: BRD is in “Draft” status within the spec file.
  • Owner: azmi.

2.2 Detailed Spec (PRD) Preparation

  • Action: After the BRD is defined by azmi, the Tech Lead (from Engineering) and UI/UX Team draft the Detailed Spec (PRD). This translates the BRD into a technical solution, defining scope (MVP), user flows, technical requirements, and UI/UX designs.
  • Location: Product/specs/INT-XX-[Initiative Name].md (completing the template).
  • Status: PRD section is in “Draft” status.
  • Owner: Tech Lead & UI/UX Team.

2.3 Internal Product Approval (azmi)

  • Action: An ad-hoc sync between azmi and the Tech Lead/UI/UX Team is scheduled after the Detailed Spec (PRD) is drafted.
  • Goal: azmi reviews the detailed PRD, provides feedback, ensures alignment with the initial BRD and overall product strategy, and gives internal product approval.
  • Outcome: The Detailed Spec moves to 🟢 Approved by Product status.
  • Owner: azmi (Internal Product Approval & Feedback).

2.4 CEO Strategic Briefing (azmi & Ahmad)

  • Action: An ad-hoc sync (online/quick in-office) between azmi and Ahmad is scheduled after azmi has given internal product approval.
  • Goal: azmi presents the initiative, clarifies strategic context and potential impact, ensuring Ahmad is fully informed on the direction.
  • Outcome: Initiative in product-initiatives.md moves to 🟢 Pending (awaiting execution start).
  • Owner: azmi (Briefing), Ahmad (Receives Briefing).

2.5 Execution Handoff & Ticketing

  • Action: Once a spec is 🟢 Approved by Product by azmi (and Ahmad is aligned), azmi formally hands it off to the Engineering Team for execution. The Tech Lead translates it into actionable tickets in Jira.
  • Linkage: All Jira tickets must reference the corresponding Product/specs/INT-XX-[Initiative Name].md document.
  • Owner: azmi (Handoff), Tech Lead (Execution).

3. Communication & Continuous Monitoring (Structured Reporting)

3.1 Daily Initiative Deep-Dive (10 Mins)

  • Cadence: Daily (flexible).
  • Time: Suggestion: 10:30 - 10:40 AM.
  • Attendees: azmi, Tech Lead, (UI/UX if relevant).
  • Goal: Quick updates, clarify BRD/PRD details, unblock immediate issues.
  • Reporting:
    • Format: Short Slack message (#product-eng) or quick F2F.
    • Content: “INT-XX: [Brief Update] - On Track / Blocked by [Issue] / Needs decision on [X].“

3.2 Weekly Product Sync (Status & Review)

  • Cadence: Thursday (16:00).
  • Attendees: azmi, Tech Lead, and Engineering Team.
  • Goal: Comprehensive review of progress, risks, and completions.
  • Reporting:
    • Format: Structured update per active initiative (presented in sync, or pre-shared in Slack).
    • Content (per INT-XX):
      • Status: On Track / At Risk / Missed / Complete.
      • Progress: What was achieved this week?
      • Why (if Missed/At Risk): Root cause of delay/issue.
      • Next Steps: What is planned for next week?
    • Outcome: azmi updates product-initiatives.md based on this detailed input.

3.3 Feature Completion Notification

  • Action: Tech Lead/Engineering notifies azmi in Slack (#product-eng) when a feature is complete and ready for internal review/QA.
  • Goal: Trigger azmi’s internal review and prepare for potential release.

3.4 Ad-Hoc Escalations & Decisions

  • Channel: Slack (#product-eng or direct DM).
  • Goal: Immediate unblocking for critical issues, quick decisions, and real-time updates.
  • Owner: Engineering Team (Escalation), azmi (Decision/Unblock).

4. Tools & Source of Truth

  • Strategy & BRDs Master: Obsidian Vault (Owner: azmi, published via Cloudflare Pages).
  • Detailed Specs (PRDs): Product/specs/ folder within Obsidian.
  • Execution & Task Management: Jira (Engineering Team).
  • Real-time Comms: Slack (#product-eng).

5. Definition of Done

  • A feature is not done until:
    1. It works on Production (or Staging).
    2. It is tracked (Relevant metrics/events are firing).
    3. It is internally reviewed by azmi.
    4. azmi approves the release to Production (after internal review).

6. Post-Release Checklist (The Launchpad)

  • User Documentation: (Owner: azmi / Product) Update Help Center articles, FAQs, or create user guides.
  • Internal Knowledge Base: (Owner: azmi / Product) Update Product Catalog, product-overview.md with new features/changes.
  • Communication Message: (Owner: azmi / Marketing) Draft release notes (internal/external), changelog entries, marketing communication plan.
  • Sales Enablement: (Owner: azmi / Sales) Brief Sales team on new features, benefits, and how to pitch them. Update Sales Playbooks/FAQs (~/Vault/Projects/FLIK/sales/).
  • Performance Monitoring: (Owner: Tech Lead / azmi) Verify key metrics (from BRD/PRD) are correctly tracked in Analytics. Monitor for bugs/performance issues in the first 24-48 hours.

This Product Operating System is a living document. It will evolve as FLIK grows and processes mature.
